About This Policy
This Privacy Policy explains how AARON VAZQUEZ HOLDINGS, LLC collects, uses, stores and protects information when you visit our website, contact our integration floor, request a proposal or engage our computer integrated systems design services. The website is developed and maintained under the guidance of Vazquez Holdings, and that developer name is used here to identify the party responsible for the technical operation of the site. The legal entity that contracts with clients, owns the brand and answers for privacy matters is set out in the section below.
We have written this policy in plain language on purpose. Industrial clients and their staff rarely have time to decode legal prose, and we believe a privacy document should be understandable to an operations manager, a purchasing officer and an engineer alike. If any part of this policy is unclear, please contact us using the details at the end of the page and we will explain it.
This policy applies to the website located at https://www.vazquezholdings.buzz and to any communication you send to us through the contact form, by email or by telephone. It does not apply to third party websites that we link to, and it does not replace any separate agreement you may sign with us for project work, which may contain additional confidentiality obligations.
Who We Are
AARON VAZQUEZ HOLDINGS, LLC is a limited liability company organised in the United States. We provide computer integrated systems design and related professional services, with a focus on industrial monitoring and control rooms. Our team works from an integration floor in St George, Utah, and travels to client plant sites across the region.
For the purposes of applicable data protection law, AARON VAZQUEZ HOLDINGS, LLC is the controller of the personal information described in this policy, except where we act as a processor on behalf of a client under a separate written agreement. Where we act as a processor, the client is the controller and the client privacy notice governs the processing of plant operator data. In those cases our role is limited to following the documented instructions of the client and protecting the information we handle.

Scope of This Policy
This policy covers personal information that identifies or could reasonably be linked to an individual. It covers information collected through the public website, information you send to us voluntarily, and limited technical information generated by your browser when you load our pages.
It does not cover aggregated or de-identified information that cannot reasonably be linked back to a person. It also does not cover information that a client gives us about its own employees and contractors for the purpose of a project, except to the extent that we process that information as a processor under the client instructions described above.
Where a client provides us with plant data, alarm logs or operational records, that material is handled under the project agreement. Such records may contain operator identifiers or shift notes, and we treat them as confidential client information rather than as marketing data. This policy explains the website side of our practice, while the project agreement explains the engineering side.
Information You Provide
We collect information that you choose to send to us. The most common example is the contact form, which asks for your name, email address, subject line and message. When you send the form, your email application opens with the message prepared for our team address. We receive the message only if you choose to send it from your own mail program. This website does not store the content of the form on its own servers.
We may also receive information when you write to us directly by email, call our telephone number, meet us at a trade event, request a proposal or sign a project agreement. That information can include your name, job title, employer, business address, email address, telephone number, site location, project requirements and any technical documents you choose to share.
If you ask us to visit a site, we may record the site address, the names of the people who will meet us, access requirements and safety induction details. We collect only what we need to plan the visit and to keep everyone safe while we are on site. We do not ask for payment card numbers through the website, and we do not request government identification numbers unless a client contract or a site access rule requires it.
Information Collected Automatically
When you load a page from our website, the hosting environment may create standard server log entries. These entries can include the internet protocol address of the requesting device, the date and time of the request, the page requested, the referring page, the browser type and the operating system family. Server logs are used for security monitoring, fault diagnosis and capacity planning.
We do not operate advertising trackers on this website. We do not build consumer profiles and we do not sell personal information. Any analytics that we add in future will be documented in an update to this policy, and we will keep the collection limited to what is needed to understand whether the site is working correctly.
Some technical information is generated by your browser to render the page, such as screen size, language preference and whether JavaScript is enabled. That information is used only for display and accessibility purposes during your visit. It is not combined with your identity and it is not used to make automated decisions about you.
How We Use Information
We use the information described in this policy for specific and limited purposes. The first is to respond to your inquiry. If you ask a question about alarm integration, dashboards, sensor networks, interlock logic, telemetry pipelines or preventive support, we need your contact details and the details of your request so that a qualified person can reply with a useful answer.
The second purpose is to prepare and deliver our services. That includes scoping a project, arranging site visits, producing drawings and test records, invoicing for work performed and maintaining the as-built documentation that a client needs after handover.
The third purpose is to keep the website and our systems secure. We review server logs and access records to detect misuse, investigate faults and protect the integrity of our communications. The fourth purpose is to meet legal and accounting obligations, including tax records, contract records and any response required by a lawful request from a public authority.
We do not use your information for automated profiling that produces legal effects, and we do not use the content of project documents to train public machine learning models. We do not send marketing messages to people who have not asked to hear from us.
Lawful Bases for Processing
Where data protection law requires a lawful basis, we rely on one or more of the following. We rely on legitimate interests when we respond to a business inquiry, secure our systems and manage our commercial relationships, and we balance those interests against your rights and expectations. We rely on the performance of a contract when we process information needed to deliver services that you or your employer have engaged us to provide.
We rely on legal obligation when we keep records required by tax, accounting or safety law. Where we ask for consent, for example if we ever wish to send an optional newsletter, we will ask clearly and you may withdraw that consent at any time without affecting the lawfulness of processing that occurred before the withdrawal.
If you are located in a jurisdiction that uses different terminology, the principles remain the same. We collect and use information only where we have a legitimate reason to do so, we limit the collection to what is necessary, and we give you a way to ask questions or raise concerns about how your information is handled.
Service Providers
We use service providers for hosting, email delivery, file storage and accounting. These providers process information on our behalf and under written terms that limit their use of the information to the services they provide to us. They are not permitted to use our information for their own marketing.
Hosting providers may keep short lived access logs for security and availability purposes. Email providers process the content and metadata of messages as part of delivering and storing them. Accounting providers process invoice and payment records as required by law. We review our providers periodically and we choose providers that maintain recognised security practices.
When a project requires specialist subcontracting, for example panel fabrication or calibration, we will name the subcontractor in the project documents and share only the information that the task requires. The client is informed before any subcontractor receives site data.
Data Retention
We keep personal information only for as long as we need it for the purpose for which it was collected, or for as long as the law requires. Inquiry messages that do not lead to a project are typically kept for two years so that we can recognise a returning conversation, and then deleted. Project records, including test results, drawings and correspondence, are kept for the period required by the project agreement and by applicable record keeping law.
Accounting and tax records are kept for the period required by applicable law, which is commonly several years. Site safety records may be kept for a longer period where a client contract or a regulatory rule requires it. When a record is no longer needed, we delete it or anonymise it so that it can no longer be linked to a person.
Backups are rotated on a defined schedule. A deleted record may persist in a backup for a short period until the backup cycle completes, after which it is removed. We do not keep backups indefinitely and we test restoration procedures so that the backup lifecycle is understood.
Data Security
We apply technical and organisational measures that are appropriate to the nature of the information we handle. Access to project records is limited to staff and contractors who need it, accounts are protected with strong authentication, and devices are kept patched. The website is served over encrypted connections, and administrative access to hosting is restricted.
Physical records such as signed test sheets are kept in a controlled office environment. Disposal of paper records uses cross-cut shredding or a bonded destruction service. Electronic media that reach end of life are wiped or destroyed before disposal.
No method of transmission or storage is completely secure. If a security incident affects personal information, we will investigate promptly, take steps to contain the incident and notify affected parties and regulators where the law requires it. We will also tell you what we have done and what you can do to reduce any risk.
International Transfers
Our operations are based in the United States. If you contact us from another country, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your location. We take steps to ensure that such transfers are protected by appropriate safeguards, including contractual terms with service providers where required.
For client projects with international sites, we may need to share project information with the client team in the country where the site is located. We limit that sharing to the information needed for the project and we rely on the project agreement and the client instructions to govern the transfer.
Your Rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to ask us to correct inaccurate information, to ask us to delete information that we no longer need, to restrict or object to certain processing, and to request a portable copy of information you provided to us. You may also have the right to withdraw consent where processing is based on consent.
To exercise a right, write to team@vazquezholdings.buzz and describe your request. We may ask for information to confirm your identity so that we do not disclose records to the wrong person. We will respond within the period required by applicable law. If we cannot fulfil a request, we will explain why, and we will tell you about any available route to challenge the decision.
You will not be treated differently for exercising a privacy right. We do not charge a fee for a reasonable request, although we may charge a reasonable fee for repetitive or excessive requests where the law allows it. If you are not satisfied with our response, you may contact the data protection authority in your jurisdiction.
Privacy for Children
Our website and services are intended for businesses and professional users. We do not knowingly collect personal information from children under the age of thirteen. If you believe that a child has sent personal information to us, please contact us and we will delete the information promptly.
We do not direct advertising to children, we do not operate features that are designed for children and we do not knowingly allow children to create accounts or submit project data. Site access rules for client facilities are set by the client and are outside the scope of this policy.
Business Transfers
If AARON VAZQUEZ HOLDINGS, LLC is involved in a merger, acquisition, reorganisation or sale of assets, personal information may be transferred as part of that transaction. We will require the receiving party to honour the commitments in this policy for information collected before the transfer, and we will notify you if the transfer changes how your information is handled.
Where a transfer requires consent under applicable law, we will ask for it before the transfer takes place. If the transaction does not complete, the information remains protected under this policy.
Third Party Links
Our website may link to external resources such as standards bodies, equipment manufacturers or professional associations. Those sites operate under their own privacy policies, and we are not responsible for their content or their handling of personal information. We encourage you to read the privacy notice of any site you visit.
A link from our site does not imply endorsement of every practice on the destination site. If you believe a link is inappropriate or broken, please tell us and we will review it.
Changes to This Policy
We review this policy from time to time and update it when our practices, our service providers or the law change. The effective date at the top of the page shows when the current version took effect. If a change materially affects how we handle personal information, we will highlight it on the website or notify affected contacts directly where we have a lawful basis to do so.
Continued use of the website after an update means that you accept the revised policy for future interactions. We keep prior versions on file and can provide a copy on request.
How to Contact Us
Questions, requests and concerns about privacy should be sent to our team. Please include enough detail for us to understand the request and to locate any relevant records. We aim to acknowledge every privacy message within five business days and to resolve it as quickly as the circumstances allow.

If you are a client and your question concerns project data rather than the website, please contact your project lead as well, because project records may be held under the terms of your agreement and the project lead can retrieve them more quickly.
Additional Notes for Plant Staff
Control room projects often involve information about operators, such as shift rosters, login identifiers and training records. When we handle that information during a project, we do so under the instructions of the client and we limit access to the engineers who need it to configure role permissions and alarm acknowledgement behaviour. We do not use operator records for any purpose unrelated to the project, and we remove test accounts before handover.
Photographs taken during a site survey are treated as confidential project material. We avoid capturing people where possible, and where a photograph includes a person we either obtain permission or crop the image before it is used in a report. Site visitors should follow the client camera policy at all times, and our staff will ask before photographing any area that may contain sensitive information.
If you are a plant employee and you have a question about records held by your employer, please contact your employer first. AARON VAZQUEZ HOLDINGS, LLC can assist the client in responding, but we cannot disclose client records directly without the client authorisation.
